Job description: This entry level position provides administrative support to Program Leaders and Staff.

MAJOR RESPONSIBILITIES:

•        Provide administrative support as assigned within unit including tracking and reporting of program activities, maintaining project documents in common shared drive and ensuring that all staff place documents in the shared drive, and maintaining paper files as necessary

•        Assist with organization of meetings with staff and external participants: (catering, set-up conference calls, handling meeting materials, including recording meeting minutes, as required)

•        Assist with preparation of materials for cost center requests

•        Assist with maintaining program files

•        Assist with handling accounting/administrative activities relating to expense reimbursements, advances and bill payments in close coordination with Finance *** Administration

•        Assist with proposal preparation and assembly

•        Assist with tracking and reporting of program activities

•        Review consultant expense reports and receipts, check for accuracy, and put in cost codes

•        Handle travel arrangements for staff and consultants (includes helping obtain visas, most cost-effective fares, and hotel arrangements. Ensure compliance with government travel regulations and Winrock policies

•        Assist in formatting of documents; preparation and dissemination of reports and other materials, printing and distribution and arranging translations. Assist with the production of quarterly, annual and other intermittent reports and assist staff with preparing presentation materials such as PowerPoint slides and CDs

OTHER RESPONSIBILITIES:

•        Assist with preparation of correspondence and other communications, filing, answering phones, ordering office supplies and equipment for staff in close coordination with Procurement

•        Provide relief for office receptionist on an intermittent basis

•        Send and track express courier packages online

•        Copying/scanning/faxing when needed

•        Perform other tasks as required

Qualifications and skills required: Education: Administrative/ secretarial training required, BA preferred

Experience:  At least one year related experience. A work history that includes clerical and administrative tasks in an international development organization is highly desired.

Skills: Computer skills to include Microsoft Office (Outlook, Excel, Word, PowerPoint, etc.)

Other: Attention to detail required. Ability to handle multiple tasks and work with multiple staff. Fluency in Spanish, French, or Portuguese desired

Job description: The Program manager (PM) of the Somali Regional State of Ethiopia will plan and implement a timely and effective emergency response program in the South Central areas of Somali Regional State of Ethiopia. The activities will be implemented through a community mobilization strategy that will include community leaders. The specific sectoral intervention is water and the activities will include water transportation through tanks, shallow wells construction. In addition a capacity building component will be provided to the community members of the targeted locations to upgrade their abilities to coop with drought crisis through means that appropriate to their situation.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Supervise local partners’ organizations in addition to CHF staff members.

Expected to spend 75% of his time in CHF emergency field office in the Somali Region.

Work closely with the Country Representative in Addis to ensure that the frequent reporting to the country and monitoring to the situation in the different areas of the programs is updated regularly.

Ensure that monthly reports of emergency response were prepared and submitted to OFDA/USAID through the CHF country representative.

Regular attendance is required
